Responsibilities

Job Summary:

 

The Administrative Coordinator III (Development Associate) is responsible for supporting a high performing major gift fundraising team in a fast paced environment.  Reporting to the Senior Director of Philanthropy for Barrow Neurological Foundation, the ideal candidate will have a strong understanding of philanthropy, a donor-centric mindset and excellent customer service skills. The ability to successfully manage and prioritize multiple projects, perform complex administrative tasks, and positively engage with stakeholders is critical to success. Additional responsibilities include:

  •  Assists members of the philanthropy team in daily business and donor management by coordinating and confirming all aspects of donor interactions and meetings, communicating logistics to prospects and attendees, provides prompt follow up on behalf of the major gift officer and data entry into the donor database (CRM).
  • Supports donor stewardship initiatives and personalized donor touchpoints to enhance donor engagement and retention.
  • Provides direct administrative support to the Senior Director of Philanthropy.
  • Records activities, interactions, maintain accurate and complete records of donor contacts and communications in donor database.
  • Prepare and maintain expenses, travel arrangements, schedules appointments, meetings, conferences and other activities for the major gift team members in a timely manner.
  • Ensure a culture of philanthropy is created by promoting good relations between donors, prospects, employees, physicians, clinical staff, leadership, board and community members, by assisting with logistics and hospitality efforts.
  • Coordinates the service line’s informational materials, proposals, and other collateral needed to secure major gifts on an annual basis.
  • Responsible for setting up tours, stewardship and cultivation events, as well as live surgery viewing events including coordination with hospital staff, vendors, speakers, guests, and other participants.
  • Provide assistance in answering the main Foundation phone line and management of the Foundation's two hospitality suites.
Important note: this position is based on site full time at the Foundation HQ in midtown Phoenix.  A remote or hybrid arrangement is not possible at this time. 

Qualifications

Minimum Experience and Education Required:

  • High school diploma or GED.
  • Five years of related experience.
  • Experience with MS Office.
Preferred Qualifications:
  • AA Degree
  • Strong ethical conduct and conveys an image of dignity, trust, respect, and confidence.
  • Self-motivated and highly organized, with the ability to prioritize requests and meet deadlines; excellent time management skills
  • Broad-based knowledge of fundraising and fund development.
  • Excellent oral and written communication skills.
  • A critical thinker and problem solver and is able to work in a complex, fast-paced environment.
  • Ability to manage multiple projects and maintain a high degree of professionalism and confidentiality.
  • Communicates effectively with internal and external audiences including Barrow physicians and administrators.
  • Respects the rights, privacy and differences of others, understands and follows all HIPPA rules and regulations.
  • Database management experience.
  • Relates with others in a positive manner so that maximum job results are produced.
