Responsibilities

Job Summary / Purpose

Coordinates the timely and accurate system procurement, receiving, stocking, inventory, and delivery of medications, bio-technology products, pharmaceutical supplies and equipment, and related pharmacy items for the retail and specialty pharmacy. Acts as a subject matter expert and supports and answers ordering related questions from the pharmacy team and leadership. Maintains and produces all required documentation in accordance with Federal and State law. Coordinates the inventory of medications, biotechnology products, and pharmaceutical supplies utilized by pharmacy personnel and maintains appropriate inventory levels necessary for effective operation of the pharmacy. Ensures the pharmacy is ordering the most cost efficient inventory items to ensure maximum revenue potential.

Maintains the cost catalog in the pharmacy operating system. Builds and maintains the front end (OTC) supply selection and stock with evolving trends.

 

Accountable for maintaining a clean and safe environment; orders and handles controlled substances appropriately; completes all educational modules; attends regular staff meetings; keeps abreast of departmental changes/current CSH policy and procedures and retail/specialty pharmacy accreditation.



Essential Key Job Responsibilities

  • Prepares and transmits orders for the retail and specialty pharmacy to ensure adequate supply of pharmaceuticals and supplies are available at all times.
  • Reviews, analyzes, evaluates, and refines the purchasing processes to stay current with needs
  • Keeps abreast of supplier contract changes to maintain contract compliance and contain supply spend
  • Represents the pharmacy in working with pharmaceutical suppliers and wholesalers
  • Works with regulatory agencies as needed to facilitate continued supply chain for regulatory compliance
  • Works with the Retail Pharmacy Manager, Specialty Pharmacy Manager, and Pharmacy Clinical Manager to implement and monitor pharmacy formulary goals and objectives
  • Works closely with 340B specialist to ensure program purchasing compliance
  • Monitors and adjusts inventory levels as needed to maintain necessary supplies while reducing waste
  • Evaluates OTC sales for trends and updates inventory selections as needed for maximum sales
  • Reviews and codes invoices daily
  • Monitors pharmaceutical waste and coordinates returns. Develops waste reduction strategies.
  • Maintains invoices, returns and credits, etc in accordance with Federal and State regulations, Medicare and third party payor requirements
  • Assists in reducing drug expense through contract compliance and purchasing initiatives
  • Monitors and communicates shortages, backorders and supply issues.
  • Participates in national purchasing and shortage calls.
  • Utilizes specialized software reports to monitor product usage and purchase history
  • Updates inventory database as needed
  • Updates pricing catalog in pharmacy operating system on a regular basis
  • Processes vendor & wholesaler invoices
  • Tracks and reports interdepartmental charges to finance department
  • Resolves billing discrepancies
  • Assists pharmacists and providers with non-formulary medication requests
  • Maintain all records and documents in accordance with state and federal regulations

Qualifications

Required Education and Experience

  • High school graduate or 
  • High school GED 
  • Two years of retail pharmacy experience

Preferred Education and Experience

  • Graduate of ASHP accredited pharmacy technician program, associate's degree, or equivalent experience
  • Pharmacy experience of at least 3 years of retail pharmacy experience with a history of pharmacy procurement


Required Licensure and Certifications

  • PHARM:XX
  • CPT-EXCPT or CPT-PTCB or CPHT 










Required Minimum Knowledge, Skills, Abilities and Training

  • Knowledge of current health system pharmaceutical practice as relates to non-pharmacy and pharmacy purchasing, receiving, stocking, inventory and delivery.
  • Knowledge of the standards, practices and tools relative to inventory control, purchasing and contract compliance.
  • Knowledge of the standards and regulatory requirements applicable to pharmacy and non-pharmacy purchasing.
  • Knowledge of the functionality and application of Pharmacy computer system(s).
  • Knowledge of the sources and availability of medications, biotechnology products, pharmaceutical supplies and equipment and related items.
  • Ability to effectively document all activities in accordance with CHI-FH policies.
  • Ability to identify and resolve discrepancies in a timely and effective manner.
  • Ability to read, understand and communicate in English sufficient to perform the duties of the position.
  • Ability to use office equipment and automated systems/applications/software at an acceptable level.
  • Ability to establish and maintain effective working relationships as required by the duties of the position.
