Job Summary and Responsibilities

This job is responsible for coordinating and executing the various functions of the assigned residency program in accordance with the requirements of the relevant entity (e.g. American Board of Family Medicine or American Board of Surgery and the Accreditation Council on Graduate Medical Education) in accordance with CHI Franciscan Health business objectives and applicable regulatory requirements. An incumbent works in an autonomous environment, and provides administrative support and technical project coordination that may include research, data and information mining, organization, analysis and reporting. Work responsibilities include accessing data and information that is considered confidential and/or sensitive, and requires discretion.

 

An incumbent analyzes, evaluates and advises residents on all departmental policies, academic schedules, projects and resident and specialty evaluations; analyzes and interprets data compiled for weekly, monthly, quarterly and annual reports.

 

  • Assists with oversight of residency program in collaboration with program director, including screening candidate applications, making travel arrangements, verifying accuracy of application data and eligibility based on academic standing, and responding to questions regarding departmental policies.
  • Initiates and prepares all documents for signature of the Program Director, as well as generate correspondence concerning the residency program.
  • Ensures all FMR or GSR applications are processed in compliance with deadlines.
  • Ensures prospective resident interview evaluations are completed within deadlines; analyzes, on a daily basis, residency packages in various stages of completion, and assures all residents and subspecialty department evaluations are completed and processed on time.
  • Provides a daily analysis of application status to Program Director.
  • Serves as an expert resource/liaison for residents; coordinates/schedules meetings/clerkships, between department heads, hospital staff physicians, resident physicians, medical students, consultant physicians, representatives of professional organizations, medical and osteopathic schools, credentialing coordinator, and Family Medicine or General Surgery Residency Coordinators of other training sites.
  • Provides input to residency training files.
  • Ensures that residency training hours are properly accounted for and reported.
  • Formulates and implements plan for the FMR graduation ceremony.
  • Analyzes, evaluates and interprets data compiled for quarterly and annual reporting requirements to Graduate Medical Education Council.
  • Prepares and distributes all required reports prior to established deadlines; provides advance notice to Program Director on potential deviations from the schedule, and resolves accordingly within scope of position.
  • Researches and evaluates proposed reports and reviews report requirements for residency program.
  • Designs and/or modifies all forms to capture required information; maintains permanent masters of reproduced forms.
  • Works collaboratively with others in the implementation and administration of program services.
  • Analyzes methodology for effectiveness, accuracy and timeliness.
  • Establishes internal guidelines and procedures to enhance the department.
  • Analyzes, evaluates and provide advice on all department policies, academic schedule, projects and functions.

Education/Work Experience Requirements

  • Four or more years of progressively responsible related work experience that demonstrates attainment of the requisite job knowledge skills/abilities. 
  • Bachelor’s degree in healthcare administration or business administration is preferred.
  • Or any equivalent combination of education and experience which provides the required knowledge, skills and abilities to perform the essential functions of the position.
