Work in close collaboration with Facility Management Services with the non-acute / ambulatory maintenance team of Real Estate Services.  Responsible for lease administration including lease transaction activities and adherence to all National Real Estate Services (NRES) Lease Transaction Guidelines, including following NRES policies on proper signature approval, (G-001A&B Policy) also adherence to Legal and Compliance issues, and market specific approvals such as Physician Transaction Review Committee (PTRC) .  Cultivate and foster strong tenant relationship and drive revenue of the portfolio.  Oversee portfolio operations with a focus on expense reduction and capital project completion. Complete other administrative and financial reporting requirements including annual operating budgets and rent rolls.   Provide support as need on due diligence work on property acquisitions and dispositions. Essential Key Job Responsibilities - Portfolio Oversight - Oversee and manage the non-acute/ambulatory properties as described below - Project Management - Manage and oversee tenant improvement projects under $1Million to be on budget and on schedule. - Work with NRES ambulatory PD&C to develop project budgets and scope. - Lease Transactions - Manage all aspects of lease administration from lessee and/or lessor, preparation/execution of all lease and related documents and lease provisions compliance. - Participate in Physician Transaction Review Committee (PTRC) and lead package preparation to gather documentation from PTRC Checklist for all listed properties. - Create marketing strategies for current and prospective tenants and assist with outsourcing third-party brokerage for completion of real estate assignments. - Lease Administration - Work with the NRES Lease Administration team on data base projects (APEX). - Review income and expense rent roll variances on a monthly basis. - Research lease document questions form the NRES Lease Administration team - Attend meetings regarding tenant delinquencies and collections - Tenant Relations - Develop and maintain positive tenant/customer relations/rapport in order to provide excellent tenant services. - Coordinate tenant move-ins and move-outs to ensure all necessary requirements are met and in line with tenant expectations. - Follow up with tenants on work order requests or complaints to ensure timely and accurate resolution. - Coordinate tenant meetings with leasing personnel and facilitation of tenant meetings and tenant events - Develop, implement, and maintain a marketing strategy for both current and prospective tenants. - Operations - Provide for the administration of all activities related to the physical operation of the assigned properties, including operations, engineering, cleaning, repair, remodeling, parking, security and landscaping. - Manage the day to day facility management team and activities of the assigned properties, including operations analysis and budget management. - Oversee and manage property operations for multiple on-campus and off-campus medical office buildings including leased-back space. - Negotiate and manage vendor contracts, to ensure alignment with national contracts whenever possible. - Oversee tenant improvement projects and capital projects and work with project managers to ensure on-schedule and on-budget projects. - Resolve tenant issues, enforce building property rules, inspect properties and ensure vacant spaces are in proper condition for leasing. - Coordinate with building engineers, environmental services, janitorial and day; porter staff, and hospital facilities engineers to ensure properties are well maintained and in good condition. - Maintain building base systems by working with hospital facilities maintenance or contracted vendors for maintenance services. - Conduct on-site property inspections according to CommonSpirit Health standards and report on a bi-monthly basis or as established by Divisional Real Estate Director. Interact with applicable hospital departments as required in order to facilitate JCAHO compliance, life safety standards, and special hospital programs.  Send out annual tenant and leadership satisfaction surveys and review results with leadership - Other duties as assigned by management. - Administrative and Financial Reporting - Provide information and direct input on major fiscal activities and capital requests, including business planning, budget preparation and financial planning. - Work with finance, review and approve detailed monthly budget of all property operating costs and produce variance explanations and financial reports for assigned properties. - Work with Lease administration to complete annual CAM reconciliations to ensure accuracy of tenant charges; coordinate billing of tenants for any charges outside the lease requirements. - Collaborate with finance department to produce month-end close and year-end reporting and ensure accuracy based on invoice and payments. - Acquisition / Disposition Due Diligence - Assist with due diligence and acquisition or disposition of properties to ensure compliance with all applicable laws and regulations. - Gather and collect required documents requested by NRES team. - Strategic Initiatives - Work with local hospital leadership to understand strategic initiatives and convey to the NRES team. - Implement strategies as required. - Other activities - Represent NRES in selected business, community and industry organizations and groups.
